This notice explains how Thewomanhealthphysio (“we”, “us” or “the practice”) handles personal information when you visit this website, make an appointment enquiry, continue to payment, or contact the practice. The practice operates from Victoria Island & Obanikoro, Lagos · ASCON, Ogun State.

2. Information used by the website

The appointment journey may ask you for:

• your name and email address;
• your telephone or WhatsApp number;
• your country or timezone;
• a broad service category and preferred contact method;
• up to three broad struggles for which you would like support; and
• confirmation that you have read this notice.

Please do not enter detailed medical history, sexual history, clinical documents, payment-card details, or other sensitive treatment information into the public enquiry form.

3. How the current appointment flow works

The details entered into the appointment form remain in your browser while you review them. When you choose to submit, the website validates and stores the enquiry in the practice’s managed database and creates a reference number before offering the Selar payment link.

The website may email you an acknowledgement and notify the practice that a new enquiry was received. The three broad struggles are intentionally omitted from notification emails and remain in the secured enquiry record. No enquiry values are placed in the Selar URL.

After payment, Selar provides the practice contact and onboarding instructions for arranging the service.

4. Why information may be processed

Where the relevant feature is enabled, information may be used to:

• respond to an enquiry and take steps requested before providing a service;
• arrange payment and service onboarding;
• communicate through the contact method you choose;
• protect the website, prevent misuse, and diagnose technical problems; and
• comply with applicable legal or professional obligations.

Depending on the activity, the lawful basis may be your consent, steps connected with a service you request, legitimate interests in operating and securing the website, or a legal obligation.

5. Service providers and international access

Vercel hosts the website and may process ordinary technical request data needed to deliver and secure it. A practice-configured managed Postgres provider stores appointment enquiries. Resend may deliver enquiry acknowledgements and practice notifications. Selar handles payment and provides post-purchase contact or onboarding instructions. Sanity hosts approved blog content and editor accounts. Instagram content is requested only when a visitor chooses to load an embedded post. These providers operate under their own terms and may process information outside Nigeria.

We do not sell personal information.

6. Cookies and analytics

The current website does not configure advertising cookies or third-party analytics. Essential browser and hosting functions may still use limited technical storage or request logs. Instagram is not contacted until a visitor actively loads a post; Instagram may then apply its own storage and privacy terms. This section must be updated before any additional non-essential analytics or advertising service is introduced.

7. Retention and security

Website appointment enquiry records are deleted 12 months after submission. The website runs a daily deletion process to remove records that have reached this limit.

If an enquiry leads to care, information that must form part of a patient’s clinical record is handled separately and retained in line with applicable legal and professional requirements. Payment records held by Selar and messages held by email or communication providers are subject to their own retention arrangements.

Reasonable organisational and technical safeguards should be used, but no website or electronic communication method can be guaranteed completely secure.

8. Your choices and rights

Subject to applicable law, you may ask to access, correct, erase, restrict, or receive a portable copy of personal information, object to certain processing, or withdraw consent. You may also complain to the Nigeria Data Protection Commission.

The relevant Nigerian framework is the Nigeria Data Protection Act 2023. These rights may be subject to lawful limits.
